These Terms and Conditions (“Terms“) govern your access to and use of the services and client portal provided by Fennec Agency (Fennec360) and Fennec360 LLC (collectively referred to as “Fennec360,” “we,” “us,” or “our“). By registering for an account, accessing our portal, or using our services, you agree to be bound by these Terms.

Please read these Terms carefully before using our services. If you do not agree with any part of these Terms, you must not use our services.


1. Definitions

  • “Client” or “You”: Any individual or entity that registers for and uses our services and/or client portal.
  • “Portal”: The Fennec360 online client portal accessible at our designated URL, through which clients manage their projects, documents, invoices, and communications.
  • “Services”: All education abroad consulting, immigration assistance, internship placement, and related services provided by Fennec360.
  • “Project”: A specific engagement or application managed through the portal (e.g., university application, visa process, internship placement).
  • “Documents”: Any files, forms, certificates, or records uploaded, shared, or generated through our services.

2. Our Services

Fennec360 provides the following categories of services:

2.1 Education Abroad Consulting

  • Academic guidance and program selection
  • University and institution application assistance
  • Document preparation and review
  • Admission support and follow-up

2.2 Immigration & Visa Services

  • Visa application guidance and preparation
  • Document compilation for embassy submissions
  • Appointment scheduling assistance
  • Immigration process tracking and updates

2.3 Internship & Career Placement

  • Internship opportunity matching
  • CV and cover letter preparation
  • Interview preparation and coaching
  • Placement coordination with host organizations

2.4 Additional Services

  • Accommodation assistance
  • Travel and insurance coordination
  • Language proficiency test preparation guidance
  • Scholarship and funding research
  • Pre-departure orientation and support

Important: Fennec360 acts as a consulting and facilitation service. We do not guarantee admission to any educational institution, approval of any visa application, or placement in any internship program. Final decisions rest with the respective institutions, government authorities, and organizations.


3. Account Registration & Responsibilities

3.1 Account Creation

To access our services, you must create an account on our client portal. You agree to:

  • Provide accurate, current, and complete information during registration.
  • Maintain and promptly update your information to keep it accurate and current.
  • Keep your login credentials confidential and not share them with third parties.
  • Notify us immediately of any unauthorized use of your account.

3.2 Account Security

You are responsible for all activities that occur under your account. We are not liable for any loss or damage arising from unauthorized access to your account due to your failure to safeguard your credentials.

3.3 Age Requirements

If you are under 18 years of age, your parent or legal guardian must consent to these Terms on your behalf and supervise your use of our services.


4. Client Portal Usage

4.1 Permitted Use

The client portal is provided for the purpose of managing your engagement with Fennec360. You may use the portal to:

  • View and track the progress of your projects and applications
  • Upload and manage documents required for your services
  • View invoices, make payments, and access financial records
  • Communicate with your assigned consultant through support tickets
  • Access important announcements and updates

4.2 Prohibited Use

You agree not to:

  • Use the portal for any unlawful or unauthorized purpose
  • Upload malicious software, viruses, or harmful content
  • Attempt to gain unauthorized access to any part of the portal or its systems
  • Use automated tools (bots, scrapers) to access the portal
  • Upload fraudulent, forged, or misleading documents
  • Share your portal access with unauthorized individuals

5. Client Obligations

5.1 Accurate Information

You are responsible for ensuring that all information and documents provided to us are accurate, authentic, and complete. Providing false, misleading, or fraudulent information may result in:

  • Immediate termination of services without refund
  • Rejection of applications by institutions or authorities
  • Legal consequences as applicable under relevant laws

5.2 Document Authenticity

All documents submitted must be genuine and legally valid. Fennec360 is not responsible for verifying the authenticity of documents you provide. You bear full legal responsibility for any document submitted through our services.

5.3 Timely Cooperation

You agree to:

  • Respond to requests for information and documents within reasonable timeframes
  • Attend scheduled appointments and meetings (or provide timely notice of cancellation)
  • Follow instructions and guidance provided by your assigned consultant
  • Keep us informed of any changes to your circumstances that may affect your applications

6. Fees, Payments & Refund Policy

6.1 Service Fees

Fees for our services are as quoted in your service agreement or as displayed on the portal. All fees are stated in the applicable currency and are exclusive of any applicable taxes unless otherwise specified.

6.2 Payment Terms

  • Payments are due as outlined in your invoice or service agreement.
  • We accept payment methods as indicated on the portal.
  • Late payments may incur additional charges as specified in your agreement.
  • We reserve the right to suspend services for overdue accounts.

6.3 Refund Policy

  • Consultation fees: Non-refundable once the consultation has been provided.
  • Application processing fees: Non-refundable once the application process has commenced, regardless of the outcome.
  • Third-party fees: Fees paid to universities, embassies, testing centers, or other third parties are non-refundable and subject to the respective entity’s refund policy.
  • Service cancellation: If you cancel services before work has commenced, you may be eligible for a partial refund at our discretion, minus any administrative costs incurred.

6.4 Third-Party Costs

You are responsible for all third-party costs associated with your applications, including but not limited to: application fees, visa fees, translation and notarization fees, testing fees, insurance premiums, and travel expenses. These are separate from Fennec360 service fees.


7. Intellectual Property

All content, materials, templates, guides, and resources provided through our portal and services are the intellectual property of Fennec360 or its licensors. You may not:

  • Reproduce, distribute, or publicly display our materials without written permission
  • Use our branding, logos, or trade names without authorization
  • Create derivative works based on our proprietary materials

Documents you upload to the portal remain your property. By uploading documents, you grant us a limited license to use them solely for the purpose of delivering our services to you.


8. Confidentiality

We treat all client information as confidential and will not disclose it to any third party except:

  • As necessary to provide our services (e.g., sharing application documents with universities)
  • With your explicit consent
  • As required by law, regulation, or legal process

You agree to keep confidential any proprietary information, processes, or materials shared with you by Fennec360 during the course of our services.


9. Limitation of Liability

9.1 Service Outcomes

Fennec360 provides consulting, facilitation, and support services. We do not guarantee any specific outcome, including but not limited to:

  • Admission to any educational institution
  • Approval of any visa or immigration application
  • Placement in any internship or job position
  • Award of any scholarship or financial aid

9.2 Liability Cap

To the maximum extent permitted by applicable law, Fennec360’s total liability for any claims arising from or related to our services shall not exceed the total fees paid by you for the specific service giving rise to the claim.

9.3 Exclusions

We are not liable for:

  • Decisions made by educational institutions, government authorities, or third-party organizations
  • Delays or failures caused by third parties beyond our control
  • Consequences arising from inaccurate or incomplete information provided by you
  • Changes in immigration laws, institutional policies, or program availability
  • Loss of data due to circumstances beyond our reasonable control
  • Indirect, incidental, special, or consequential damages

10. Termination

10.1 Termination by Client

You may terminate your use of our services at any time by providing written notice. Termination does not entitle you to a refund of fees already paid for services rendered or in progress, subject to the refund policy in Section 6.3.

10.2 Termination by Fennec360

We reserve the right to suspend or terminate your account and services if:

  • You breach any provision of these Terms
  • You provide false, fraudulent, or misleading information
  • You fail to make payments when due
  • You engage in conduct that is harmful to our business, staff, or other clients
  • Continued service would violate any applicable law or regulation

10.3 Effect of Termination

Upon termination:

  • Your access to the portal may be suspended or revoked
  • Ongoing applications may be discontinued
  • You remain liable for any outstanding fees
  • Provisions of these Terms that by their nature should survive termination (confidentiality, limitation of liability, data protection) shall continue in effect

11. Force Majeure

Neither party shall be liable for any failure or delay in performing obligations under these Terms due to circumstances beyond reasonable control, including but not limited to: natural disasters, pandemics, government actions or restrictions, wars, civil unrest, strikes, telecommunications failures, or changes in laws and regulations.


12. Dispute Resolution & Governing Law

12.1 Governing Law

These Terms are governed by and construed in accordance with the laws of Algeria for services provided by Fennec Agency, and the laws of the State of Wyoming, United States, for platform-related matters governed by Fennec360 LLC.

12.2 Dispute Resolution

In the event of any dispute arising from these Terms or our services:

  1. Negotiation: The parties shall first attempt to resolve the dispute through good-faith negotiation.
  2. Mediation: If negotiation fails, the parties may submit the dispute to mediation.
  3. Jurisdiction: If the dispute remains unresolved, it shall be submitted to the competent courts of Tizi Ouzou, Algeria (for service-related disputes) or Natrona County, Wyoming, United States (for platform-related disputes).

13. Data Protection

Your use of our services is also governed by our Privacy Policy, which describes how we collect, use, share, and protect your personal data. By using our services, you acknowledge that you have read and understood our Privacy Policy.

You may exercise your data protection rights through the GDPR section of your client portal or by contacting us directly.


14. Modifications to These Terms

We reserve the right to modify these Terms at any time. When we make material changes:

  • We will update the “Last Updated” date at the top of this page.
  • We will notify you via email or through a notice on the portal.
  • Your continued use of our services after notification constitutes acceptance of the updated Terms.

If you do not agree with the updated Terms, you must discontinue your use of our services.


15. Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, the remaining provisions shall continue in full force and effect.


16. Entire Agreement

These Terms, together with our Privacy Policy and any service agreements signed between you and Fennec360, constitute the entire agreement between you and Fennec360 regarding the use of our services and portal.
